Booking of Group Rooms

Please note

Group rooms can only be booked via the electronic booking system. Access is granted for one semester at a time. At the start of a new semester, access must be requested again.

Creation/access

Each group has one shared booking access.

To gain access to the system, one member of the group must fill out the "Access Application" form with the required information.

  • The group will then be registered in the system, allowing booking to commence.
  • Once a group is registered, a system-generated email with the username and password will automatically be sent to the provided email address.

Using the system

Booking is done by visiting http://book.webbook.dk/auc/studbook/

  • Each group can book up to 10 units at a time.
  • Each unit is for a duration of 1 hour.
  • Bookings can be made on weekdays from 7 am to 10 pm.
  • After the time for the first unit has expired, the right to book again will be renewed.
  • When booking, a message will appear on the screen indicating which service office (if booking in other buildings) to contact for access with the key card.
  • If a group has booked a time slot they will not use, please delete it so other groups can use it.
  • Once a room is booked by a group, the group has access to the room for the entire booked period.

Please note

  • Access control is activated from 3:30 pm, depending on the building. Alarms are activated at 8:00 pm.
  • The electronic booking is the only valid reservation method for group rooms.
  • If your login has expired or is not working, please submit a new application. For any issues, please contact the IT department at email: support@its.aau.dk
